There are three different things people mean by free business email: a free generic inbox, free forwarding from a domain address, or a free custom-domain mailbox. They are not interchangeable.
If AI automation matters, the platform choice matters more than the sticker price. Gmail and Google Workspace usually have the strongest automation ecosystem, while Zoho and Cloudflare are useful for keeping early costs low.
Pick the email model before picking the provider
A free generic account such as yourbusiness@gmail.com is quick, but it does not look as established as you@yourdomain.com. Free forwarding can receive mail at your domain and send it to an existing inbox, but sending from that address can require extra setup.
A real custom-domain mailbox is the cleanest long-term setup because it supports sending, receiving, authentication, aliases, users, and business administration from one place.
Best automation choice for most small businesses
For AI automation, Google Workspace is the strongest default because Gmail, Calendar, Drive, Docs, Meet, Apps Script, APIs, Zapier, Make, and most CRM tools already integrate deeply with it.
That does not make it the cheapest. Zoho Mail is better if your first requirement is a low-cost or free custom-domain mailbox, and Cloudflare Email Routing is useful if you only need forwarding while you validate the business.
Do not skip email authentication
Once you use a domain email, configure SPF, DKIM, and DMARC. These records help receiving mail systems recognize that your messages are legitimate and reduce the chance that invoices, quotes, and onboarding emails land in spam.
If you plan to send marketing email, use a proper email marketing or CRM platform instead of blasting from a normal inbox. Inbox tools are for business correspondence, not bulk campaigns.
